Terms of Service
Version 2026-10-18-1. These terms take effect for you when you affirmatively accept them. Prepared October 18, 2026.
Square One Property Management Services ("Square One," "we," "us")
PO Box 2162, Los Angeles, CA 91396
vickie@squareonepm.com
These terms cover our website and resident, owner and staff portals. They govern use of the application, not your tenancy, employment or property management relationship. Your lease, signed agreements and rights under applicable law continue to apply. Our Privacy Policy explains how we handle information.
We do not sell personal information or share it for cross-context behavioral advertising. Accepting these terms is not consent to marketing, electronic legal service, a credit check, or a waiver of privacy or housing rights.
1. Scope and separate agreements
Use the application only for lawful property recordkeeping, communications, maintenance coordination and related services that Square One makes available to you. The website does not advertise rental vacancies, accept rental applications, prepare or deliver renewal offers, or initiate lease-signing requests. Historical leasing and signing records may remain available. Lease records document agreements made outside this application; entering dates or recording a status does not negotiate, offer, renew or execute an agreement. Some public website features are available without an account. Creating an account does not grant access to any property, tenancy, owner account or staff workspace; Square One must authorize that access separately.
These terms do not create or amend a lease, property management agreement, employment contract, agency authority or payment authorization. A signed agreement governs the underlying relationship if there is a conflict with these application-use terms. Mandatory federal, California and applicable local laws control over conflicting language here. Nothing here waives habitability, fair housing, security-deposit, rent-control, consumer, employment or other nonwaivable protections.
2. Accounts and account security
Provide accurate information and use an email address you control and are authorized to use. Complete email verification and required access checks. You must be at least 18, otherwise legally able to enter an agreement, or an authorized representative acting within your authority. Contact Square One if you need another way to access services; account eligibility does not determine eligibility for housing.
Keep your password, authenticator, verification messages, signing invitations and download links private. Do not share an account or impersonate another person. Staff must use an authorized work account and the required authenticator-based multi-factor authentication. Follow any password confirmation requested for a sensitive action. Tell Square One promptly about suspected unauthorized access, an exposed link or a lost device. Use appropriate device security and sign out on shared devices.
3. Resident, owner and staff responsibilities
Residents: You may view the tenancy records and shared documents made available to your account, update permitted contact details and submit requests. A maintenance submission is a request for review; it does not confirm an appointment, spending approval or completed work. Access instructions or a request submitted through the portal do not waive applicable notice-of-entry requirements or authorize entry beyond your lawful consent.
Owners: Access is limited to the ownership accounts and units Square One authorizes for you. Joint owners share the unit's document allowance and may see documents made available to their ownership account. An owner approval records the decision shown in that workflow, within the owner's authority and the management agreement; it does not authorize access to another unit or override law, required notices or spending restrictions.
Staff: Use records only for legitimate company work within your assigned role and delegated authority. A visible control does not itself authorize spending, contracting, payments or disclosure. Check recipients, ownership and sharing scope before acting. Preserve records and correction history required by law or policy. Do not export company information to personal email, storage or unapproved services. Confidentiality duties survive access termination while information remains confidential, subject to lawful whistleblowing, protected workplace activity and other legally protected disclosures.
4. Acceptable use and uploads
Do not bypass permissions, access information without authorization, introduce malware, submit unlawful or discriminatory material, harass others, impersonate anyone, interfere with the service or conceal activity by altering records. Obtain written permission before conducting security testing. Report a suspected vulnerability privately to our contact email; do not access others' information to demonstrate it.
Upload only material you have the right to provide and that is necessary for the relevant work. Avoid unnecessary government identifiers, medical information, full payment-card details, credentials or other highly sensitive data. Do not upload information about someone else without an appropriate lawful basis. Remove unnecessary personal details from photographs and attachments.
Published file-size, shared unit storage and anti-abuse limits apply. Current owner document limits include 100 MiB per file and 2 GiB shared per unit, with additional file-count, pending-upload and request limits shown by the service. Selecting sharing makes the document available to the authorized recipients identified in that workflow. Check the setting before saving. Revoking a link or removing a shared file cannot recall copies already downloaded by an authorized recipient.
You retain rights in material you provide. You authorize Square One and its service providers to host, copy, process, display and transmit that material only as reasonably needed to provide, secure and administer the service, meet legal duties and resolve disputes. This permission does not authorize selling your personal information or using it for cross-context behavioral advertising. Keep your own copies of important documents; the portal is not a promise of permanent archival storage.
5. Records, payments and decisions
Review information before relying on it. Ledgers, statements, reminders, approvals and reports reflect the records and status available at the time; they may not show pending adjustments or cleared funds. A recorded payment, submitted payment instruction or owner approval is not, by itself, proof of settlement. Report errors promptly so Square One can review and correct them through the appropriate process.
The Resident Portal does not collect rent or security deposits. Pay those directly to the landlord or association under your separate agreement and established payment arrangements. Owner Portal online payments are limited to Square One company invoices for its own services; they do not collect tenant rent or security deposits on behalf of an owner. Those invoice transactions are governed by the separate authorization and processor terms shown for that transaction. These terms do not authorize automatic debits, new fees or changes to rent. Where law requires an alternative payment method, the portal does not replace it. Templates, calculated dates and generated documents require appropriate review; they are not legal, tax or accounting advice.
The application does not obtain or process credit, background or tenant-screening reports and does not make automated housing-eligibility decisions. Separate notices and permissions required for a future screening or other regulated service would need to be provided before that service is introduced.
6. Messages, notices and electronic signatures
Routine portal and email messages may be delayed, misdirected or unavailable. Keep contact details current and follow up when receipt matters. The portal is not monitored as an emergency response service. For immediate danger, call 911 or the appropriate emergency service and use your property's established emergency contact procedure.
Agreement to these terms is limited to these application-use terms. It is not blanket consent to electronic delivery or service of eviction notices, rent changes, entry notices, deposit accountings, court documents or any other notice requiring a particular consent or method of service. Use the method required by law and the relevant agreement.
New lease-signing requests and signing links are disabled in this application. Previously completed documents and signature history may be retained. Any agreement signed outside the application has its own signing process and any required electronic-record disclosures and consent. Review that document separately. Creating an account, clicking a maintenance approval or accepting these terms does not sign a lease or another person's agreement. Contact Square One about paper copies or an alternative lawful process. You can print or save these terms and our Privacy Policy from your browser.
7. Privacy and service providers
The Privacy Policy describes collection, use, necessary disclosures, retention and privacy requests for website visitors, applicants, residents, owners, staff and other people whose information is handled in the application. Receipt of that notice is separate from consent to any optional use that legally requires consent.
Payment, signing, authentication and other providers may have their own terms and notices when you use their services. Square One remains responsible for its own legal obligations. A provider's certification or security report is not a certification of this application.
8. Availability, changes and ending access
We aim to maintain a useful, reasonably secure service, but do not promise uninterrupted availability, error-free outputs or immunity from all attacks. Contact Square One for assistance or an alternative way to conduct necessary business when the portal is unavailable or inaccessible. Use of the portal does not replace reasonable accommodations or legally required access to housing services and records.
We may restrict access to address misuse, a security concern, a change in employment or ownership, or the end of an authorized relationship. Restrictions must remain consistent with applicable law and do not extinguish a tenancy, ownership interest, money owed, required record access or another legal right. Contact Square One for required records or an alternative channel. Account closure does not automatically delete records that must be retained.
We may update features and published service limits prospectively, with reasonable notice of material changes where practicable. Updated terms will have a new version and be presented for renewed acceptance before we rely on a material change against you. Changes do not apply retroactively to an existing dispute. The then-published Privacy Policy identifies how we notify you about material privacy changes.
9. Intellectual property and responsibility
Square One and its licensors retain rights in their software, branding and materials. You may use them for the authorized purposes of the service and as otherwise allowed by law or agreement. These terms do not transfer ownership of your documents to Square One.
Each party remains responsible as applicable law provides. Nothing here excludes liability that cannot lawfully be excluded, requires a waiver of statutory remedies, or limits responsibility for fraud, willful misconduct, gross negligence or an unlawful disclosure. We do not impose mandatory arbitration, a class-action waiver or a shortened statutory claims period through these terms.
10. Questions and applicable law
Contact vickie@squareonepm.com or write to the mailing address above for help, a records request or a concern. California law governs these application-use terms, subject to controlling federal law and any mandatory rights or venue rules applicable to you or the property. A lawful court or other forum remains available as provided by law. If a provision is unenforceable, the remaining provisions apply to the extent legally permitted.
Privacy Policy
Version 2026-10-18-1. Last updated October 18, 2026. This notice applies from its publication and describes the website and resident, owner and staff portals operated by Square One Property Management Services. Contact: vickie@squareonepm.com; PO Box 2162, Los Angeles, CA 91396.
Your personal information is never for sale. We do not sell personal information, share it for cross-context behavioral advertising, use advertising pixels, or record calls or browsing sessions. We disclose information when needed to provide property services, operate the application, protect people and meet legal obligations, as explained below. Security logs and account activity records are different from recordings of your browsing session.
1. People and information covered
This policy covers visitors, prospective clients and residents, current and former residents, owners and joint owners, authorized staff, contractors, emergency contacts and other people identified in relevant records. It covers information you provide, information authorized people provide about you, imported business records, and technical information collected when the website or application is used. A lease, employment relationship or management agreement may require additional notices; these application policies do not replace them.
2. Information collected, purposes and retention
We collect only information reasonably needed for the purposes described here. Not every feature collects every category. We do not use this app to obtain or process screening, credit or background reports.
| Category and examples | Purposes and sources | Retention criteria |
|---|---|---|
| Account and contact information: names, email addresses, telephone numbers, mailing addresses, account identifiers, verification status, profile photos and agreement records. | From you, authorized staff or imported company records; to create and verify accounts, manage authorized access, contact you and document the terms presented to you. | While needed to administer the relationship and access, then as needed for legal records, security, disputes and evidence of an agreement. Closing login access does not erase the underlying business file. |
| Property and relationship records: addresses, units, ownership and tenancy links, lease terms, household or emergency-contact details, maintenance descriptions, access instructions, approvals, messages and photographs. | From you, owners, residents, staff and authorized providers; to manage property services, requests, repairs, communications and access to the correct records. | For the relevant service or relationship and applicable transaction, property, safety, legal-hold and dispute requirements. Access instructions should be reviewed and removed when no longer needed. |
| Financial and transaction records: rent, fees, deposits, recorded payments, balances, invoices, account references and payment-provider transaction identifiers or limited payment-method details. | From you, staff, existing business records and payment providers; for billing, collection records, reconciliation and reporting. | As required for transaction, accounting, tax, trust-account, broker, audit and dispute records. Retention depends on the record and applicable obligation, not only account status. |
| Documents and signatures: uploaded files, leases, statements, signing requests, signature records and associated audit information; files may contain personal information you or authorized people include. | From you, authorized users and signing providers; to retain and share the documents and agreement records selected for the relationship, including historical signature evidence. New lease-signing requests are disabled. | While needed for the document's purpose and applicable contract, broker, legal-hold or claims requirements. Removing an upload from view may not remove retained records, provider records or backup copies immediately. |
| Device, security and activity information: IP addresses, browser/device information, authentication events, security signals, service logs, actions taken, timestamps, delivery status, error reports and saved interface preferences. | From your device, the application and infrastructure providers; to operate, secure and troubleshoot services, enforce permissions and prevent abuse. | For the operational, troubleshooting, security or audit purpose, subject to provider retention, legal holds and any recordkeeping duty. Preferences remain until reset, cleared or no longer supported. |
We assess retention by the category, purpose, relationship, applicable law and any legal hold; we do not promise a single deletion date for all information. Some real estate broker records have mandatory retention requirements, and other records may require longer retention. We restrict access to retained information and dispose of it when no longer needed under the applicable schedule. We do not promise that deleting an account automatically deletes leases, financial records, agreement receipts or backups.
3. Necessary disclosures
We disclose relevant information to authorized Square One staff; to owners, joint owners, residents and their authorized representatives for the property or unit and service involved; and to contractors or other providers who need it for work such as a repair. A document shared with a resident can be seen by the authorized residents for that unit, as described by the sharing control. Recipient downloads and disclosures required by law cannot necessarily be recalled later.
We use providers for hosting, authentication, databases, file storage, email, security, payments and electronic signatures. Current application integrations include Google/Firebase and Google Cloud, reCAPTCHA processing security, fraud and abuse-prevention signals on our behalf, Stripe for payment processing, and DocuSeal software in our managed electronic-signing instance. Email, website hosting and authorized document-delivery providers also receive information needed for their services. Staff profile images may be requested from Gravatar when enabled; this sends a hashed email identifier and normal connection information to that provider. Staff may disable Gravatar in Account Settings or use a profile image instead.
Payment details entered in a processor-hosted field go to the payment processor; our application receives transaction records and the limited details needed to administer the transaction. Do not put full card numbers or security codes in messages or uploads. Our managed DocuSeal instance processes documents for Square One and records signer verification and audit information as disclosed in the signing process. DocuSeal's own website policy describes its services and does not replace this notice for our managed instance. Providers may also act under their own notices for services they provide directly; relevant links include Google privacy, Stripe privacy, DocuSeal privacy and Automattic/Gravatar privacy.
We may disclose information when reasonably necessary to comply with law or lawful process, maintain required records, investigate misuse, protect rights or safety, or respond to an incident. A business transfer may involve relevant records subject to applicable law and appropriate confidentiality protections; a materially different use requires appropriate notice and any legally required consent. We do not give unrelated owners or residents general access to another unit's private records.
4. Cookies, browser storage and tracking choices
The application and its infrastructure use cookies, local/session browser storage or similar technologies for authentication, fraud prevention, access protection and interface preferences such as saved views or drafts. Browser storage can contain information you enter or choose to save. Clear local data and sign out on shared devices. Blocking or clearing essential storage may prevent sign-in or reset preferences. Some temporary application caches are held only in memory and clear when the session ends.
We do not deploy advertising pixels, session-replay tools or cross-context behavioral advertising. Legacy browser "Do Not Track" signals do not change the essential authentication, security and operational processing described here. We do not sell or share personal information for cross-context behavioral advertising, including for visitors sending a Global Privacy Control signal, so there is no such sale or sharing to opt out of. We will assess any future optional tracking before enabling it and provide legally required choices.
Security and payment providers receive connection and device information, and may set cookies or process service-use signals under their applicable notices and contracts. External font or profile-image requests also reveal normal connection information to their providers. We do not represent that every provider has no processing beyond our site or that third-party links are governed solely by this policy. Optional staff profile-image requests can be disabled as described above.
5. Security and location of processing
We use administrative, technical and organizational safeguards intended to protect information, including verified accounts, access restrictions and multi-factor authentication for staff. No service can guarantee absolute security. Keep credentials and download or signing links private, and report suspected misuse to our contact address. We will investigate incidents and provide notifications required by applicable law.
Information is processed by Square One and providers in the United States and may be processed in other locations where a provider operates. We do not promise California-only storage, end-to-end encryption of all records, or automatic certification through a hosting provider. Contact us before submitting data that requires special contractual or geographic handling.
6. Reviewing information and privacy requests
You can review information made available in your portal and update permitted contact details. For access, correction, deletion, an accessible copy of this notice or another privacy concern, email vickie@squareonepm.com with the subject "Privacy request," or write to Square One Property Management Services, PO Box 2162, Los Angeles, CA 91396. You do not need to create an account to make a request. Tell us the relationship or account involved and the request; do not send a password, full card number or unnecessary identity document.
We may reasonably verify your identity and an authorized agent's authority before releasing or changing private records. Verification information is used for that purpose. We will consider requests even if you no longer have portal access and will not retaliate for exercising a legal privacy right. Deletion or correction may be limited by required records, another person's rights, security needs or legal claims; where permitted, we will explain a limitation and correct records through an appropriate documented process.
California residents may have rights under applicable law to know/access and obtain a portable copy of information, correct inaccuracies, request deletion, opt out of sale or cross-context advertising sharing, limit certain uses of sensitive information, and receive nondiscriminatory treatment. Which statutory rights apply depends on the law and whether the business is covered. We do not use sensitive personal information to infer characteristics or for advertising; we use it only as reasonably necessary for the services, security and legal purposes described here.
Where the CCPA applies to a request, we will acknowledge requests to know, correct or delete within 10 business days and respond within 45 calendar days, with a permitted extension of up to 45 additional days and notice explaining the extension. Other requests are handled within the time required by the applicable law. You may contact California's privacy regulators about a concern; this policy does not limit that right.
7. Children and other people's information
The application is intended for adults or people otherwise legally authorized to use it, and is not directed to children under 13. We do not knowingly collect information directly from children under 13 through account registration. Necessary household information supplied by an adult for a tenancy may concern a minor; provide only what is needed for a lawful housing purpose. Contact us if a child supplied information directly so we can review and take appropriate action. This policy does not change fair housing obligations or the rights of families with children.
8. Changes and contact
We identify changes by the date and version on this page. We will provide a prominent application notice or direct communication for material changes before applying a materially different use where required, and obtain any consent required by law. A policy update does not retroactively supply consent for a new purpose. Contact vickie@squareonepm.com or the mailing address above with questions.
